How we work

The kinds of systems we build

Bar 9 AI helps service businesses turn repetitive, manual workflows into systems that run more consistently - and automatically. We focus on the workflows where time, follow-up, visibility, or quality are breaking down, then build an AI system around the work instead of forcing the work into a tool.

Start with the workflow

We get brought in when good people are doing too much by hand

The problem usually is not a lack of software. It is that the work still depends on manual follow-up, scattered data, fragile reporting, trapped expertise, or someone on the team remembering to hold everything together.

What we build

Four common system types

Most client work falls into one of these patterns, each one wired around a workflow that is costing you time. Of course, we live for the outliers, too!

REPORTING

Reporting systems

Pulling together strategically valuable data into useful outputs so you're focused on your business and relying on data you trust.

FOLLOW-UP

Sales & follow-up systems

Identify and route leads, trigger the next action, and reduce missed opportunities caused by delay or inconsistency. Find deals hidden in your current data.

CONTENT

Content systems

Turn institutional knowledge into repeatable sales & marketing assets, brand voice guidance, and business insights your team can use.

INTELLIGENCE

Knowledge systems

Bring fragmented information from your CRM, Slack channels, inboxes, and internal teams into one usable layer so leaders can see patterns and act sooner. Imagine having the most current competitor intel, ICP data, market research, and client sentiment becomes available at your fingertips.

What makes Bar 9 different

Built around the work. Kept useful after launch.

We don't start with a tool and then hunt for a use case. We start by finding a workflow that is leaking time, consistency, or visibility, then build the right system around it. After launch, we stay close enough to maintain it, monitor it, and continue to improve it.

Example builds

Cool stuff we've built

These are excerpts of systems we've built. They are here to show how Bar 9 AI thinks, what kinds of problems we solve, and how we structure the work.

  1. 01

    High-volume content without approval chaos

For a national home-services brand, we built a social content system. It ingests a 100-plus-page brand guideline and a library of over a thousand images, analyzes and matches images to each piece, and drafts on-brand content for five regions across multiple platforms. Everything lands in one review dashboard, and the system learns from the edits reviewers make. And our team continues to enhance it every day.

  2. 02

Client onboarding without the dropped handoffs

We built a multi-layered client-onboarding system for a national marketing agency. It carries a new client from signed agreement through project-management setup, Slack channel creation, and folder structure, and even summarizes the sales conversations so the account team starts with full context. ICP research and brand identification are built in, too.

  3. 03

Territory knowledge turned into a planning layer

One of our clients, a field-sales organization, came to us to design a prospect and territory intelligence system that combines historical performance, demographic context, and field activity into a clearer decision-making tool for leadership.

  4. 04

    Internal expertise made more usable

How do you ensure everyone on your team follows the same exacting standards when submitting client-facing reports? For one client we built a Slack-based conversational agent. First, it built a database of the most recent compliance standards and requirements, then merged that database with company best practices. Next, it was programmed to have a live conversation with the user to develop a consistent report they could share with clients. No more typos, no more grammar errors, no more egg-on-the-face.

Fit matters

We are not the right fit for every business

Bar 9 AI is most useful for skill-intensive service businesses with a real workflow problem, measurable operational drag, and no internal engineering team waiting to build a solution internally. If it doesn't make sense or we think you're better using an off-the-shelf tool, we'll say so.
